Oil Patch AI Systems | AI for Contractors Servicing Alberta's Oil Patch | Calgary & Fort McMurray

Oil Patch AI Systems | Wood Buffalo, AB

AI for the work behind the work.

Our system finds the money leaking out of your field tickets. You only pay us out of what it finds.

We build, deploy and manage AI systems for Indigenous-owned and independent contractors serving Alberta's oil patch.

Invoices stop bouncing back rejected. Bids stop missing deadlines. Spend reports stop getting rebuilt at midnight. JV numbers stop showing up weeks late. Safety audits stop turning into a scramble.

How ready is your back office for AI?
How the numbers flow

Synthetic demo data. Every playbook runs inside your company's own Microsoft or Google account, and a named person in your office approves every step before anything leaves the building.

Contractors servicing the oil patch have the apps. Very few have them working together.

Apps are everywhere. One source is not.

The same job, worker, unit and PO line get typed into the field ticket, the dispatch board, payroll, the safety log and the quarterly report. Every hand-off between two systems is a seam where money, time and trust leak. Across Canadian small businesses, 92% use digital tools and only 10% have them integrated across their operations.

The Bottleneck

The capacity trap.

Contractors servicing the oil patch are not behind on technology. They are buried in the work behind the work. Payroll goes out every two weeks while the money from the job shows up two months later, and the office that has to close that gap is one or two people deep.

Hiring another admin adds a second person re-typing. Buying another app adds another login the crews will not use. The fix is one foundation, inside the account you already own, that fills in the same numbers once.

The shortest RFP I reviewed was 147 pages.

Get paid

A rejection restarts the clock

Net terms count from a successful submission. One missing PO line and a 45-day wait starts over. Payroll does not.

Canadian Natural: net 45 from a successful submission. Suncor: net 60. As each operator publishes.

Get paid

Tickets ride in the truck

Signed tickets sit in door pockets for weeks before the office sees them. Unbilled work is money already earned. Paper tickets take 15 to 25 days to invoice, by one vendor's estimate.

Vendor estimate: FleetRabbit

Win work

The RFP nobody was free to open

Estimators bid from memory because nobody has time to look up the last job. The bid you never submit is the one you are sure to lose.

Safe & certified

Audit request, 10 days to answer

ISNetworld, Avetta, ComplyWorks and COR all ask for documents you already keep, in a different order. Hundreds of FLHAs get filed and never read again.

Run crews

Turned back at the gate

One expired ticket and a whole crew cab drives back. That is a missing register, not a careless worker.

Report

Quarter-end at midnight

Every operator wants the same Indigenous spend numbers in a different template, and the board waits weeks for one set of numbers across all the companies.

Suncor reported $3.2B with Indigenous suppliers in 2025, and needs supplier data to report it.

Everything required to make AI work behind the work.

Oil Patch AI Systems does not drop off a strategy deck or sell you another app the crews will not log into. We build and run the systems contractors servicing the oil patch need behind the work: getting paid, winning work, running crews, staying safe and certified, and reporting.

01

Front-Door Audits

The Field Ticket Leak Audit for operating companies and the Reporting Readiness Review for Indigenous group offices. Every ticket, report and seam is mapped before anything is built.

Start with what it finds.

02

Fixed-Scope Playbook Builds

16 playbooks, each built in 1 to 3 weeks on one data foundation, inside your own Microsoft or Google account and the licences you may already pay for.

Built and handed over, not recommended.

03

Managed Service

We run, check and update your playbooks every month. A named person in your office approves every invoice, form and report before it leaves the building.

One accountable partner.

04

Capacity in Your People

Every step gets a named owner, a training date and a one-page SOP, so your own staff can run each system after hand-over. For Nation-owned companies, the skills stay with your members.

Skills that stay when we leave.

Practical playbooks

16 playbooks. One data foundation.

Each playbook is a fixed-scope build of 1 to 3 weeks, made from 39 shared components, so the second playbook is quicker to build than the first. Field Tickets is the first front door, not the whole business.

How a build runs

Watch AI go to work behind the work.

Every playbook runs the same clock. Not a reading plan. A build plan.

  1. Week 1

    The front door is open

Field Ticket Leak Audit for operating companies: 12 checks on last month's tickets for unbilled, rejected and short-paid work, paid from what it finds. Reporting Readiness Review for Indigenous group offices: every report you owe, the fields each needs and where each comes from.

  2. Weeks 1 to 3

    One playbook is built

Fixed scope, built inside your own Microsoft 365 or Google Workspace account, using the Copilot or Gemini licences you may already pay for. The AI shadows your people first, and nothing it writes leaves the office until you have compared the two.

  3. After hand-over

    Your people run it

A managed service keeps it running, or your staff run it with a named owner, a training date and a one-page SOP. If your people cannot run it after we leave, you rented it. We build so you own it.

Promise 1

Your data stays in your tenant.

It stays in your company's own Microsoft or Google account and never trains a model. For Nation-owned companies, data terms are aligned with OCAP® principles.

Promise 2

A person approves every decision.

AI drafts invoices, forms and reports. A named person signs off. Safety outputs are always approved by your qualified safety staff.

Promise 3

Your staff can run every system.

The promise is capacity, not cuts. AI takes the re-typing; your people keep the decisions and the skills.

Why is the readiness check free?

Oil Patch AI Systems builds fixed-scope AI playbooks for contractors servicing Alberta's oil patch. The readiness check, the leak checks and the hard answers on this page have to be useful even if you never talk to us.

That usefulness is how we earn the call.

Same library, two front doors

Built for the company you actually run.

Both doors draw on the same 16 playbooks. They differ in which playbook opens the door, who signs, and how trust is earned.

How ready is your back office for AI?

Six questions on bids, billing, prequal, where your knowledge lives, how AI is used today, and reporting. You get a readiness band, a pressure reading for each area, and the playbook we would look at first.

Your answers stay in this page until you choose to send them. We do not estimate your hours or dollars from six clicks: the audit counts them from your own tickets and reports.

Question 1 of 7

Founder-led, field-built

12+ years on rotation. Five oil sands sites.

I'm Farai. I have worked more than 12 years of 4/3, 7/7 and 14/14 rotations across five oil sands sites: Long Lake, Albian Sands, Suncor Base Plant at Steepbank, Hangingstone back when it was JACOS, and Fort Hills. I'm coming up on a decade at my current site. I've signed tickets at the end of a 12, sat at a closed gate, and watched good crews lose a day because one piece of paper was in the wrong truck.

Oil Patch AI Systems speaks superintendent, not data scientist. Before we talk about models, we talk about your LEMs (labour, equipment and materials sheets), your SES (service entry sheets), your PO lines and your prequal. If an AI firm cannot tell you what those are, it should not be touching your invoices.

We are pre-revenue, launching in Q4 2026, and we say so. There are no client logos on this page because there are no clients yet. What we can show you is the work.

Demonstration · Field Ticket Reader

Synthetic data

We tested the reader on 22 photographed tickets.

Printed tickets shot at an angle, handwritten carbon copies, faint pink carbon, crossed-out hours, glare, motion blur and crumpled paper. Each one was read blind and scored field by field against the answer key.

309

of 310 fields read right

0

confident wrong readings

2

photos correctly sent back for a retake

Every miss was flagged for a clerk to check instead of guessed. Test run 7 October 2026 on a synthetic test pack of 100 generated tickets. No client or employer data. Handwriting was font-based, so real handwriting from a truck at minus 30 will read lower; the next test uses real carbon ticket books filled out by hand.

What we will never do

  • Name your company, your client or your numbers anywhere without written approval.
  • Paste your rate sheets, tickets or member data into a personal AI account.
  • Promise a result we have not measured with you.
  • Claim any tool is "certified" or "compliant". We teach the method and point to the qualified person.

The hard questions

Ten fears about bringing AI in.

These are the questions contractors servicing the oil patch ask before they let AI near an invoice. Each answer is something you can do this week, with or without us.

You've seen the plan

Now put AI to work behind the work.

A 30-minute discovery audit to find which seam costs you the most and which front door fits: the Field Ticket Leak Audit or the Reporting Readiness Review. Bring last month's tickets. We'll bring the checks.

  • 1Tell us your company type and who you bill.
  • 2We ask which step each person in your office re-types most.
  • 3You leave with the one AI job worth doing first, written in one sentence.
